Secretary (temporary to permanent position)
Hours: 9.00am to 5.30pm
Salary: £20,000 pa
Location: Birmingham
Role Outline
A vacancy has arisen for an efficient, organised and flexible secretary to support Partners, and Associates within the firm. This role is initially a three month temporary position with a view to the role becoming permanent at the end of that period.
Main Duties
- Typing: audio and copy
- Producing high quality documents - mainly in Word and PowerPoint
- Inputting information into the firm's financial system
- Supporting marketing activities, researching potential contacts and assisting with mailshots etc
- Organising internal and external meetings, lunches, seminars and marketing events
- Diary Management and travel arrangements
- General administration (i.e. filing, faxing, photocopying, binding, time reports etc)
- Answering telephones, message taking and transferring calls in a professional manner
- Dealing with post and emails in Partner absence or absence of others in the department
Skills & Qualifications
- Strong interpersonal skills
- Good level of general education with at least 5 GCSE's (including English language) or equivalent qualification or experience
- Typing to RSA Stage 3 standard or equivalent
- Must be numerate and open to learning to work with financial systems
- Excellent working knowledge of Outlook, Word, PowerPoint and basic Excel
- Previous experience as a secretary within a professional environment is required
- A high level of accuracy is required with a good typing speed in copy and audio
- Must be able to display initiative, professionalism and confidence
- Experience of electronic diary management - Outlook preferred
- Must be articulate and able to demonstrate discretion
- Excellent and professional telephone skills
- Ability to prioritise workload and work under pressure with a flexible approach.
